The Role

What you will be doing

This a new role at Gentronix and we anticipate the role to develop over time. For now, the main activities of the role will be:

  • Developing and sharing meeting agendas to steer board discussions on significant topics for productive meetings.
  • Gathering and distributing necessary documents and materials to equip the Executive Director Team for informed discussions.
  • Accurately recording meeting minutes of discussions, vital decisions, action points, and commitments for future reference.
  • Acting as the primary contact for the Executive Director Team, streamlining all communication channels for efficient information distribution among board members and colleagues.
  • Providing meticulous planning and delivery for Executive and company events, ensuring beneficial experiences for all attendees, including.
  • Welcoming guests and preparing essential support for our clients, partners, and auditors, such as:
    • Coordinating overnight accommodation
    • Compiling and distributing meeting agendas
    • Completing preparatory work for Quality Assurance Audits
  • Managing sensitive information with utmost confidentiality.
  • Assisting the Executive Director Team with various administrative tasks, including diary management, scheduling, correspondence, expenses and organising travel both domestically and internationally.
  • Managing day-to-day tasks like our time and attendance system ‘Coretime’ and compiling monthly overtime reports.
  • Support to finance and commercial teams’ administration.
  • Responding to any other reasonable request.

About you

We are looking for someone who can hit the ground running with this role and make an impact quickly. Therefore, we want someone who:

  • Possesses a wealth of experience as an Executive Assistant in the dynamic environment of Small to Medium-sized Enterprises (SMEs), providing unwavering support to senior leadership.
  • Exhibits proficiency in both written and verbal communication, complemented by exceptional interpersonal abilities.
  • Can engage with a diverse range of stakeholders, including investors, senior executives, customers, and team members of all backgrounds.
  • Highly skilled in IT, with a particular emphasis on, Microsoft Office 365 and Outlook.
  • Demonstrates a skill for harnessing software tools to boost organisational efficiency.
  • Experience of business finance approaches 
  • Experience in coordination of marketing approaches and input into support material creation.
  • Exhibits robust organisational skills.
  • A self-driven individual, eager to apply personal skills to further strategic goals.
